Alliance Underwriters, LLC is proud to announce the launch of DocLoc, our fully HIPAA-compliant document system.  DocLoc is a secure information storage and retrieval system.  Benefits include elimination of postage, printing and mailing expenses for documents on DocLoc clients and the ability to improve the efficiency of the information request/attachment process. 

DocLoc is a very simple system to use allowing you to send and receive documents securely via the Internet.  Communications with the web system are encrypted and documents containing personal information can be safely delivered.  With DocLoc, access is restricted to the person(s) to whom the document was sent.  Individuals are notified via email when they have a document waiting for them (even if they have not signed up to use DocLoc yet).

We would like to offer DocLoc to our Preferred TPA’s at no charge.  DocLoc can be run on your company’s server or outsourced to AU.

Why use DocLoc?

·        DocLoc is secure.  It allows the sending and retrieving of files and information safely through the internet or within a corporate intranet.

·        DocLoc is HIPAA compliant.  The very tight security and the logging of all activities make this system ideal for companies who handle sensitive information or follow stringent privacy policies (such as the HIPAA regulations.)

·        DocLoc is Compatible.  Most any software that can save data to a file, write to a SQL database or send out emails can be integrated with the DocLoc system.

·        DocLoc is customizable for the company.  DocLoc has many existing options and customizations of new features can be added quickly.

·        DocLoc is easy to use.  Employees will not need extensive new training to use DocLoc.  If they can attach a document to an email, they can already use DocLoc.

·        DocLoc is customizable for the user.  Users can customize which frames they see, the colors, and even add links to their favorite web sites. 

·        DocLoc needs no additional user software.  The users only need their web browser.  There are no add-ons or controls for them to install.

What are the system requirements for DocLoc?

DocLoc is designed to run in a Microsoft Windows environment with the following components:

·        Microsoft IIS.

·        Microsoft SQL server.

·        Microsoft Outlook. (optional)

These components can be on one, or multiple systems.

How does DocLoc work for the end user?

When a document is added to the system, the recipient will receive an email notification directing them to the secure website.  Returning users can log on and see the list of documents waiting for them.  With a single click, the file will open through the user’s internet browser.  The entire browser session is secured by encryption.  First time users will need to register before they can access their documents.  The registration process assures that the user is the person for whom the document was sent.

How does DocLoc work behind the scenes?

DocLoc has two components that work in conjunction to form a complete document storage and retrieval system.  One component, the web component, gives users their point of access allowing them to send and retrieve documents safely.  The second component, the Email service, handles notifications, expirations, and document attachments via email.

How is a Document sent from DocLoc.

          You can send documents to people in one of four ways.

1)     You can use a Customized Form in Microsoft Outlook.

2)     You can use the DocLoc Web.

3)     You can automate sending of documents through the AUS system.

4)     DocLoc can be customized to handle sending of documents in other ways.

How will users register with DocLoc. 

New users will be able to create their DocLoc account by registration before they receive any documents from DocLoc, or they can wait until they receive a notification that they have a document waiting for them.  Users must have a valid email address in order to use the DocLoc system.

DocLoc uses email to notify users that they have documents waiting and also uses a the users email address to help verify their identity.  When users sign up to register, they are sent an email for verification purposes.   If that is not enough security, you can require approval for all users through the Administrator of DocLoc.  The Administrator will be notified whenever a new user wants to register.  Once the Administrator has verified the user’s identity the Administrator simply replies to the approval request.
